Frequently Asked Questions (FAQs)

“CSUN paid” payment type is no longer an option in Concur. If you require a cash advance for an expense that is not a direct bill option, please reach out to csuntravel@csun.edu before you submit your request so that we can enable the cash advance function for you. Please ensure your request aligns with CSU Policy on Travel Advances.

After your request is fully approved in Concur, your department can pay for your registration with the departmental Procard. A p-card waiver is not required. The card holder will include the fully approved travel request with the Procard reconciliation packet.

Please submit an Optimize ticket stating your name and employee ID number, and then our team will assist in fixing this Supplier ID error for you.

Please make sure to choose from the report type drop down “(Local/Mileage)” as that is set up for mileage and will not require an approved request.

Create From an Approved Request

The mileage calculator is a built in tool within Concur that must be used when claiming mileage. Please see the user guide for details on how to utilize the mileage calculator. Travelers no longer need to attach PDF’s of maps, as they should be utilizing the mileage calculator.

  • Requests do not contain all the expense types in the drop down. Please choose whichever is closest or “other” if you do not see your specific expense type listed.
  • For example, for baggage expenses, please select “other” or “airfare”.
  • Additional expense types will be available in the Report after the trip.

  • Requests and Reports will auto approve by the Concur system after 10 days.
    • For example, if a request is in a direct supervisor’s queue for 10 days without action, the request will then move up the chain until it reaches the Office of the President. Please make sure to follow up on your requests and reports to ensure they are being approved timely.

  • Please be aware Approved Travel Requests will automatically close on day 61 after the travel end date. In order to submit a late expense report, the request will have to be re-opened. The request will not be re-opened until exception approval has been obtained from Division VP and CFO.
